Tendering/bidding happens in the Pre Award Stage.

It’s when a client invites you to join a tender/bid.

Here are the stages:

  1. Client asks for a proposal
  2. You receive tender documents
  3. Submit your tender response including departures/clarification document
  4. Negotiate on price and terms
  5. Final contract issued for signing
  6. Check the contract
  7. Sign the contract

If the client accepts your proposal they’ll send through tender documents and this is a crucial stage for you.

Here’s How To Nail It:

Tender documents are all of the instructions to the tenderers/bidders.

Basically, it’s the brief you follow, and it provides all the instructions.

  • It’s the first draft of the eventual contract that you’ll sign.
  • It sets out the scope of work, all of the details of the project, and your role and responsibilities.
  1. IOA/FOA or Instruction of Agreement or Form of Agreement: the parties and particulars of the contract.
  2. Terms of Agreement: this lays out all the risks and procedures. It’s everything that both parties are agreeing to in terms of the project relationship. It serves to protect BOTH parties.
  3. Scope of Work: what you are responsible for, and what you’re not responsible for. It also includes time frames for work.
  4. Pricing Schedule: the proposed budget for the project, as well as list of materials.
  5. Appendices: any other documents that are relevant to the project.

Remember you’ll be asked for the Order of Precedence.
